How Porchlight works

Trips and retreats

  1. 1A group of its ownTap New group, then A trip or retreat (or A reunion or celebration). Give it a name, the first and last days, and where. It gets its own chat and people, and its page has everything about the trip in one place. It moves to the bottom of your groups once it's over.
  2. 2Invite everyoneShare the invite link, like any group. People who aren't in your usual group can come too.
  3. 3Sign upTap Going. If there's a limit and it's full, you go on the waitlist and move up, in order, as spots open. You'll hear the moment you're in.
  4. 4PayIf there's a cost, it's under Cost on the page, with a button to pay (Venmo, PayPal, wherever the leaders take it). A leader ticks you off once it's in.
  5. 5Pitch inJoin a meal crew (each meal has its own) and say you'll bring shared gear like a cooler or firewood.
  6. 6CarsRides go car by car, with a tab for Getting there and one for Heading home. Each car shows when and where it leaves, its seats, and who's in it. Driving? Tap I'm driving, and say what your car looks like so riders can spot it. Need a seat? Tap Ride in this car on one with room.
  7. 7Splitting gasA driver can choose to split the cost of gas. Only the people in that car see it: anyone in it adds the fill-ups they paid for, and everyone sees their share and who owes whom.
  8. 8PackThe What to bring list is a checklist: tick things off as you pack. Your ticks stay on your phone.
  9. 9On the dayThe page has the day-by-day plan, your room, the Wi-Fi and the door code. Tap I'm here when you arrive.
  10. 10Share it as it happensFrom the first day, open Reflections on the trip's page and tap Add a reflection to share photos and videos (and the moments worth remembering) with everyone on the trip. Only the group can see them.

For leaders

  • On the trip's page, under In this gathering, each part that isn't set up yet has a button to set it up: the plan (day by day), meal crews, the packing list and rooms. After that, open its row to change it.
  • Tap the pencil at the top, then Edit gathering details: the dates, Spots and Sign up by, the Cost and a payment link, and the venue details (check-in, check-out, Wi-Fi, door code).
  • Two days before sign-up closes, anyone who hasn't answered (or said maybe) gets a reminder. After it closes, only leaders can add people.
  • Tick who's paid under Cost, and remind those who haven't with one tap.
  • Rides are on for trips (Manage → Features), in Caravan mode (also there to switch off): car by car, both ways. Set where everyone meets, then watch the count of who's not in a car yet, and use Add someone on a car with room.
  • A driver who adds their car can say they're driving home too; anyone who rides there with them gets the same car home.
  • Each meal crew gets a reminder the evening before, with what's on the menu.
  • Set up Rooms with how many beds each has, then tick who's in each. You'll see who still needs a room.
  • Emergency info: everyone coming is asked for an emergency contact and anything you should know (allergies, medicines). Only leaders see it, with a tap to call.
  • During the trip, Who's here? fills in as people tap I'm here. Tick anyone who arrived without checking in.

Good to know

  • Any gathering can run over several days: tap Runs over several days? under its date.
  • Your emergency contact lives on your profile (your picture, top right), under About you. Change it there any time.
  • The venue details and the plan are only shown to people in the group, never on the invite page.
  • A trip's page doesn't have care calendars, and Reflections shows up once it starts.
  • A one-day event (a luncheon, a service day) keeps it simple: no caravans, rooms, meal crews or emergency info. Those are for events over several days.
  • A one-time event and its gathering are one thing: editing the name or place in either updates both.
  • Want everyone to stay together afterward? In Manage → Features, tap Keep the group going after this? The event becomes the group's first gathering, and you can plan more, like a few times a year.
